10 Files You Need for Your AI Assistant System
Your AI system works well if you have good files in it. Here’s what you need to get the most out of it in 2026.
1. Profile
The most important file. You can create it with a prompt from my database. The more things about yourself, the better. I have several profiles: one for business, one for life, one for finances (private finances). I’m constantly developing them. The more your AI knows about you, the better it connects the dots.
2. Numerical Data
This can be a simple “Numbers” file or several files. I throw financial data, sales data, marketing data in there. I update this file once a month. With AI knowing what works/worked, it helps better.
3. Product Offerings
A file describing your products and services. Thanks to this, your assistants know exactly what you sell, for how much, and to whom.
4. Customer Persona
This is a file where we keep information about the ideal customer: what they like, how they write, how they speak, where they hang out, what concerns they have. It helps with marketing, sales, and product creation.
5. Plan
Both in business and in life, it’s good to have a plan. That is, what we’re doing this week, this month, this quarter, this year. It works great. For example, assistants knowing that I have a small operation in March, set up tasks and work differently.
6. Team Decisions
Whenever you decide something important with your AI assistants, that data must go into the “Decisions” file.
7. Brand Guide
A document describing your branding: colors, fonts, what the brand message is, what we avoid. Then these materials available to your marketing assistants do their job.
8. Customer Reviews File
All reviews from your customers should be in a file (folder) and your assistants should use them when they can. They can use them for changes on pages, changes in the product, or in marketing.
9. Assistant Prompts
You need several prompts for assistants for different tasks. One is not enough. For the start it’s okay, but you want to have several prompts, e.g., one for strategy, one for sales, one for marketing.
10. Educational Prompt
You’ll also find one like this in my database. An assistant should teach you any subject. You need to understand what you’re doing.

The quality of your AI’s output is directly tied to the quality of the context it has access to. These 10 files form the foundation of a system where:
- Your AI knows who you are and what you want
- Your AI understands your market, customers, and competition
- Your AI stays consistent with your brand and values
- Your AI can make better recommendations because it has historical data

Start with the profile and numerical data. Add the rest as your needs grow. Update them monthly. Your future self (and your AI assistants) will thank you.
